AI bookkeeping intake for business: accounting firms

More clients, same team: the bot collects the paperwork, not your accountant

Your clients send receipts, invoices and acts to your firm's own Telegram bot. The bot records the entries in a ledger sheet and reconciles cash. Your accountant reviews finished work instead of chasing papers across chats.

The problem

Every month it is the same: clients send documents on the last day, as photos, across different messengers, and some get lost. Accountants spend hours going through chats and retyping amounts instead of analysing and advising. Taking on a new client means hiring a new person.

What we set up in the pilot

  1. A bot under your firm's name. Your clients will message your bot, not ours.
  2. Document intake. receipt photo, invoice, act, account card: the bot reads it and records the entry in the client's ledger sheet (Google Sheet or your database). This part already works for us.
  3. Cash reconciliation. Cash balance plus a list of entries that do not match, flagged for the accountant.
  4. Client reminders. A few days before your deadline, the bot will ask clients for missing documents.
  5. Payroll and bonus calculation to the client's rules, if that is part of your service.

Your accountant reviews and approves. The bot does not file returns or make decisions for your specialist.

Results in numbers

  • Our case: the bot processed a Word report in minutes and caught a typo in the cash book.
  • On your clients we measure in the pilot: documents recorded correctly as checked by your accountant, time per client per month before and after, share of documents received before the deadline.

How the pilot works

  1. A free 30-minute call: number of clients, document types, where you keep the books.
  2. One-page scope: 3-5 of your clients for the pilot, document types, ledger format, what counts as an error.
  3. Bot set-up under your firm's name and your ledger.
  4. One month of live work with those clients.
  5. Your accountant reviews; we fix issues within the pilot scope.
  6. Test report and before/after comparison. Whether to connect the rest of your clients is your decision.

Price

  • Pilot: 600 €, fixed. 50 % on signing the scope, 50 % after the test report.
  • After the pilot: price after we review your task.

FAQ

Will my clients see your name?

No. The bot runs under your firm's name; your clients deal with you.

What happens to client documents?

Storage and deletion terms are written into the contract before the pilot starts.

What if the bot misreads a receipt?

Unreadable or doubtful documents are flagged and passed to your accountant. The final check always stays with your specialist.

Send us 5-10 anonymised documents from one client and we will show you how they land in the ledger.
