Customer document packs are sorted, cross-checked and filed to your own standard. The request for missing papers is already drafted. Decisions and signatures stay with your specialist.
The problem
A customer sends a pack of files with meaningless names. Your clerk spends half a day opening each one, working out what is missing, comparing amounts between the invoice and the contract, and chasing the customer. Errors are found late and the cargo waits. More shipments means more people doing the same checks.
What we do
Pack sorting and cross-checking already work today, in the open demo. Deadline tracking and the summary are added during the pilot:
- Pack sorting. Every file is opened, recognised, renamed and filed into folders in your order.
- Cross-check. Amounts, numbers, dates and names are compared across the documents in the pack. Every mismatch is listed in the inventory.
- Customer email. A ready draft listing what is missing: just check and send.
- Deadline tracking (set up in the pilot). For each shipment the system will watch that a document was requested and received, and remind your clerk if it is late.
- Morning summary for the manager (set up in the pilot). Packs in progress, what is missing, what needs a decision today.
Tariff classification, duty calculation and filing the declaration always stay with your specialist. We speed up preparation; we do not replace them.
Results in numbers
- The open demo on our site processes our sample pack in 1-7 seconds (our measurement, 3 Nov 2026, on our sample packs, not on customer packs).
- On your packs we measure in the pilot: share of documents recognised correctly as checked by your clerk, time per pack before and after, and every unreadable file and mismatch shown.
How the pilot works
- A free 30-minute call: how a pack flows today, who checks it, how many packs a week.
- One-page scope: document types, your folder and file naming, the list of mandatory documents, which numbers we compare.
- Setup to your standard.
- A run on 20 of your past packs (anonymised is fine): folders, inventory, mismatches, draft customer email.
- Your clerk reviews; we fix issues within the pilot scope.
- Test report and before/after comparison. The decision to roll out is yours.
Pilot length: 10 working days from receiving the packs.
Price
- Pilot: 600 €, fixed. 50 % on signing the scope, 50 % after the test report.
- Running the desk on your live flow after the pilot: price after we review your task.
FAQ
What happens to our documents?
Storage and deletion terms are written into the contract before work starts. In the open demo, files are kept for three days and then deleted; you can delete them immediately.
We have our own folder and naming rules.
The system files documents to your standard, not ours. We record it at the scope step.
What if the system gets it wrong?
It flags every unreadable file and every mismatch. Your clerk checks and decides. Poor scans and handwriting may not be readable, and the system says so plainly.
